Travel grants are intended to provide financial support for category 1 or 2 IETM members who have been part of the network for at least one year to participate in our meetings.
IETM is committed to making every meeting accessible to all of its members. However, we cannot guarantee funding for all travel grant applications. In this regard, IETM will evaluate each application following the ‘selection process’ section you can find below.
What do the grants cover?
The grants can cover up to 75% of your travel expenses in connection to the meeting, including airport transfers by public transport. The grants do not cover per diem, meals, visa or local transport expenses (taxi, bus, etc.).
The grant also includes accommodation for three nights. IETM will cover and arrange accommodation directly following the information in your application. Please note that we will likely offer shared accommodation options to the selected applicants.
Please feel free to add any comments or remarks that may help us in allocating your accommodation in your application. Health and personal well-being issues will be taken into account to the extent of our capacity.
Who can apply?
Our travel grants are reserved for IETM members only. Regardless of the country where you are based, you must fit the following criteria:
- You or your organisation have been a member of IETM for at least one year;
- You belong to the membership category 1 or 2: the annual turnover of your organisation or your freelance activities does not exceed 100,000 euros (check your membership here);
- You have already settled your membership fee for the ongoing year.
Selection process
All applicants who meet the application criteria will be evaluated by taking into account the following points:
- The applicant provides a strong motivation and outlines their potential contribution to the meeting;
- We favour members who have previously not had the chance to attend an IETM meeting;
- We favour members who have never received a travel grant before or have not received one in a long time;
- Considering our environmental policy, we are keen to support applicants that consider the environmental impact of their travel. Examples are: choosing environmentally friendly travel options whenever possible (however, air travel will be equally considered if there are no alternative options), making the IETM Berlin Plenary one stop of a longer itinerary combining multiple events/stops and/or extending your stay in Berlin for attending multiple events, meetings etc.
- A travel grant is only offered to one person per organisation. If two or more people working for the same organisation wish to apply for a travel grant to attend the meeting, they must share one grant.
Considering these points, we aim to support as many members as possible and welcome applications from members based in and outside of Europe, within our limited budget constraints.
This also means that, if your application is selected, we may offer a lower financial support than the amount requested in your application.
How does it work?
The grantees are responsible for booking their own travel, and refunds will be processed after the meeting upon receipt of the grant report. The nights of accommodation covered by the grant will be booked and paid directly by IETM. If you decide to stay longer, you will have to make the arrangements yourself.
Application deadline: Monday 3 March 2025 at 17:00 CET (calculate your timezone).
Please note:
- Please fill out the ‘amount’ and ‘detail costs’ field carefully, as well as your ‘environmental travel’ challenges.
- Be sure to elaborate on your motivation to attend the meeting in the ‘motivation’ section, as this will be the main criteria for selection.
- Any additional information that might help us better understand your situation is welcome.
